Privacy and security

Is my bank statement uploaded anywhere?

No. Digital PDFs are opened and converted by code running in your browser. The file, the password and the transactions stay on your device. You can check this yourself: open your browser's developer tools, Network tab, and convert a file. No file is sent; the only request is an anonymous count to our own site (for example "conversion succeeded, SBI format, 48 rows"). Our pages also set a Content-Security-Policy that blocks connections to other websites.

Can my staff or clients verify that nothing is uploaded?

Yes. The security page shows a one-minute check with the browser's Network tab, and you can convert a file with Wi-Fi switched off after the page has loaded.

Is it safe to use for client statements under confidentiality obligations?

The statement is processed only on your computer, the same as opening it in a PDF reader, so no third party receives client data. You remain responsible for how you store the downloaded files.

Do you track me?

No cookies, no advertising trackers and no accounts. We count anonymous events such as page views, conversions, the bank format detected and whether the balance check passed, so we know what works. They never include your file, transactions, amounts or anything that identifies you. The privacy policy lists every field and has a switch to turn counting off.

Where are my ledger rules saved?

In your browser's local storage on that computer. They are never sent to us. Use "Export rules" in the converter settings to back them up or move them to another computer.

Banks and files

Which banks are supported?

SBI, HDFC, ICICI, Axis and Kotak are tuned and tested; PNB, Bank of Baroda, Canara, Union Bank, IDFC FIRST, Yes Bank, IndusInd and co-operative bank passbooks are tested on look-alike samples; Indian Bank, IOB, Bank of India, Central Bank, UCO, Federal, IDBI and AU are recognised and read by the general reader. See all formats.

My bank is not listed. Will it work?

Often, yes: choose "Other bank (generic)". If no rows are found, choose Map columns yourself and point at the Date, Narration, Debit, Credit and Balance columns once. The balance check confirms whether it worked.

My PDF has a password. What do I do?

Enter it when asked. It is used only in your browser to open the file. The bank's email that carried the statement normally explains the password format.

What about scanned statements?

Yes, they work. Scanned pages are read with OCR (text recognition) right in your browser, so they are not uploaded. It takes about 5 to 15 seconds a page, and the first time the browser downloads the OCR program (about 5 MB). Cells the OCR is unsure about are highlighted, and the balance check shows any row that does not add up. If a page still fails, you can choose to let Google's Gemini AI read just that page: we ask first, every time, and say exactly what is sent. A PDF downloaded from net banking is still best: it converts instantly and exactly.

Can I convert several statements at once?

Yes. Select or drop several PDFs together. Each is converted and checked, and you can download everything as one ZIP with a combined sheet and a combined Tally XML file.

Are credit card statements supported?

Not yet. Credit card statements have a different layout (no running balance). They are on our list; tell us which card issuer you need.

What about statements with Hindi or regional-language text?

Dates and amounts are read the same way. Narrations in Hindi or other scripts are kept as text when the PDF stores them as proper Unicode; some older PDFs use fonts that extract as garbled characters, which you can correct in the table.

How large a statement can it handle?

Statements of a few hundred pages work on a normal office PC; very large files take longer because everything runs on your computer. During launch there is no page or statement limit.

Does it work on a phone?

Yes, for converting and downloading. Editing rows and mapping ledgers is easier on a computer.

Accuracy

How do I know the numbers are right?

Every conversion runs a balance check: opening balance + credits − debits must equal the closing balance, and each row's running balance must match the previous balance plus that row's amount. Rows that do not match are flagged in red. We never "fix" numbers silently.

What should I do with a flagged row?

Compare it with the PDF and click the cell to correct it. The check re-runs instantly. Common causes are a narration that swallowed an amount or a row split over a page break. You can also delete junk rows and undo with Ctrl+Z.

What does "opening balance (derived)" mean?

The statement did not print an opening balance, so it was worked out from the first row: balance minus credit plus debit.

Do you round amounts?

No. Amounts are kept as whole paise internally, so totals match the statement exactly.

Tally, Excel and other software

Can I import the result into Tally?

Yes. Download the Tally-compatible XML. Debits become Payment vouchers and credits become Receipt vouchers against your bank ledger, with the counter ledger you choose for each row (or a suspense ledger). Rows marked Contra (e.g. ATM cash) become Contra vouchers. Import the ledger masters file first (Import > Masters in TallyPrime) and choose "Ignore Duplicates" for masters that already exist, so your existing ledgers keep their groups. Then use Import > Transactions (TallyPrime) or Import of Data > Vouchers (Tally.ERP 9). Each voucher carries a stable ID, so importing the same statement again updates those vouchers instead of creating duplicates.

Which Tally versions are supported?

The XML follows Tally's standard import format and was verified by importing into TallyPrime 7.2. Earlier TallyPrime releases and Tally.ERP 9 (Import of Data → Vouchers) use the same import format and should work, but we have not tested them ourselves yet.

Can I export to Zoho Books or QuickBooks?

Yes. Choose "More formats" after converting: Zoho Books bank-statement CSV and QuickBooks Online bank CSV. Import them from the bank account's "Import statement" option in that software.

What about Busy, Marg or other software?

Use the Excel or CSV export and that software's Excel import. A direct Busy format is planned once we can verify it in Busy.

Can I get a single Amount column instead of Debit and Credit?

Yes. Tick "Single signed Amount column" in the export options: debits become negative and credits positive.

How do ledger rules work?

A rule says "if the narration contains SWIGGY, use the Staff Welfare ledger". The first matching rule wins. Rules apply to every statement you convert in that browser. Click "+ Rule" on any row to start one from its narration.

Client ledgers and Suspense

How do I use my client's own Tally ledgers?

Click Client above the converter, add the client and load its ledger list. In TallyPrime: open the company, press Alt+E (Export) → Masters, press C (Configure) and choose Accounting Masters and XML (Data Interchange), then Send. An Excel or CSV list with a Name and an Under (group) column works too. From then on the ledger box only accepts that client's ledgers.

Is the ledger list uploaded?

No. It is read in your browser and saved in this browser's local storage under that client's profile, with your rules and remembered choices. Only names and groups are kept; balances, addresses and GSTINs in the file are ignored.

How are ledgers suggested?

In this order: the ledger you chose before for the same UPI ID or payee, your saved rules, a ledger whose name appears in the UPI, NEFT, IMPS, RTGS or cheque narration, and the usual ledger for bank charges, interest, GST, TDS, salary, EMI, rent, cash and similar entries. Suggestions only ever name ledgers in the client's list. Nothing is applied until you accept it.

What is the fastest way to clear Suspense?

Click Accept suggestions for the confident ones, then Clear Suspense (or the Suspense filter) to see only the rows left. Type a ledger and press Enter to move to the next row (Alt+Enter accepts the suggestion). To set many rows at once, tick them or type in the filter box, choose a ledger in the bar that appears, and optionally save it as a rule.

What if a ledger does not exist in Tally yet?

Tick Allow ledgers that are not in this list in the client settings. New ledgers are marked new in the table and go into the ledger masters file. Ledgers that already exist in the client's company are left out of that file, so their groups and balances are never touched.

Can my staff use the same client setup?

Yes. Export profile saves the client's ledger names, rules and remembered choices (no statements or amounts) to a file. Import profile on the other computer adds it as a client.

Accuracy checks

What do the accuracy checks look for?

Cash withdrawals over ₹10,000 in a day, cash deposits of ₹2 lakh or more in a day, cash deposits adding up to ₹10 lakh or more in a financial year, rows that look the same (date, amount and narration), and, in a batch, equal and opposite amounts between the client's own accounts within two days. Optional checks show large round sums and cheques or branch cash on bank holidays. Click a check to jump to the row.

Which tax rules are the cash checks based on?

Cash expenses: Sec 40A(3) of the Income-tax Act 1961, now Sec 36(4) of the Income-tax Act 2025 (in force from 1 April 2026): an expense paid in cash where payments to one person in a day exceed ₹10,000 (₹35,000 for hiring goods carriages) is not deductible. Cash receipts: Sec 269ST, now Sec 186, bars receiving ₹2 lakh or more in cash from one person in a day, for one transaction or for one event, with a penalty equal to the amount (Sec 271DA, now Sec 451). Bank reporting: Rule 114E, now Rule 237 of the Income-tax Rules 2026, makes banks report cash deposits of ₹10 lakh or more a year in savings accounts and ₹50 lakh or more in current accounts.

Does a check mean something is wrong?

No. A bank statement shows cash leaving or entering the bank, not who was paid or who paid. The checks are prompts for you to look at the vouchers and documents behind those rows. They never change your data or block an export, and they are listed in the Checks sheet of the Excel file.

How are transfers between two of the client's accounts handled?

Convert both statements together (select both PDFs). A debit in one and an equal credit in the other within two days is shown as a possible transfer. Click Post once as Contra and the entry is posted once, from the paying bank to the receiving bank ledger, and left out of the other statement's vouchers so Tally does not count it twice.

Pricing and account

Is it free?

Yes, KhataSheet is free and unlimited during launch: no page limits, no sign-up and no card.

Will it stay free?

There will always be a free tier. Paid plans for heavier use are planned; pricing will be announced on the pricing page before the launch period ends, with advance notice to everyone using it, and nothing is ever charged automatically.

Do I need to sign up?

No. There are no accounts during launch.

Can I install it as an app?

Yes. In Chrome or Edge, use the install icon in the address bar (or menu → Install KhataSheet). It then opens in its own window and works offline.

Help

It says "No transactions found". What now?

Try "Other bank (generic)" in the format menu, then Map columns yourself. If it still fails, use Send us this statement (only with your consent; deleted after 30 days) or the contact page; a redacted page also helps us add the layout.

Which browsers are supported?

Current versions of Chrome, Edge, Firefox, Safari and Brave on Windows, macOS, Linux, Android and iOS. Chrome 109 on Windows 7 and 8 works with a slower compatibility mode; browsers from before 2020 are not supported.

How do I contact you?

Through the contact page. Complaints and data requests: see grievance redressal.
